To successfully deploy our next-generation XML 2.0 Phish Reporting Button and enjoy an updated interface, enhanced privacy settings, and a pinnable Outlook sidebar, any older version of our legacy reporting add-in must be completely removed first.
Because versioning rules dictate that a manifest must share the exact same ID to update seamlessly, and legacy platforms require a clean environment to completely overwrite old configuration parameters, your Microsoft 365 Global Administrator must execute this clean uninstallation process before uploading the new XML 2.0 manifest.
1. Important Considerations Before Removal
Timing and Propagation: Cloud propagation applies to both app removals and new installations. Removing the legacy add-in can take between 12 to 24 hours to fully clear from all user mailboxes globally.
Seamless Transition: We recommend scheduling this removal during off-peak hours to minimize any reporting gaps while the legacy button clears and the new XML 2.0 button propagates.
2. Step-by-Step Legacy Uninstallation Process
Your Microsoft 365 Global Administrator must execute the following steps within the Microsoft 365 Admin Center:
Step 1: Navigate to Deployed Apps
Log into your Microsoft 365 Admin Center with global administrative credentials. In the left-hand navigation menu, select Settings ➔ Integrated Apps (or Add-ins depending on your organization's interface).
Step 2: Locate the Legacy Asset
Locate the existing phishing reporter add-in from your list of deployed apps.
Note: Depending on when your platform was originally provisioned, the legacy app may be listed under names such as "Dcoya Phish Reporter", "NINJIO Reporter Button", or a generic "Report" label.
Step 3: Initiate App Removal
Click directly on the legacy application row to open its configuration panel on the right side of the screen. Click the Remove app (or Delete Add-in) button.
Step 4: Confirm Deep Removal
When prompted by Microsoft's confirmation dialog, ensure you check the option to remove all related user assignments and cached data associated with the application. Click Remove to finalize the deletion.
Step 5: Refresh Outlook Clients
Once completed, the legacy button icon will automatically disappear from your users' ribbons as Microsoft's cloud sync processes the change. Users can restart Outlook or refresh Outlook Web Access (OWA) to speed up this local visual refresh.
3. Moving Forward with XML 2.0 Installation
Once the legacy asset has been successfully uninstalled, your environment is ready for a clean deployment of the new XML 2.0 manifest file.
Generate and download your new customized manifest from your NINJIO Admin Portal.
Return to Integrated Apps in your Microsoft 365 Admin Center.
Click Add custom add-in (or Upload custom apps) and upload your new XML 2.0 file.
Assign the deployment scope to Everyone, set the deployment method to Fixed, and save your changes.
Your new, modernized pinnable sidebar layout will begin rolling out to your organization immediately! (Please allow the standard 12 to 72 hours for Microsoft to complete global organization-wide distribution)
